Executive Assistant – Fort Worth/Dallas, TX

Overview

The Executive Assistant to the Multifamily & Mixed-Use Partner provides high-level administrative and operational support to the Partner and the entire Multifamily & Mixed-Use team. This role is essential to ensuring the efficiency of day-to-day operations, advancing team objectives, and enabling leadership to focus on strategic projects and initiatives. The position requires exceptional organizational, communication, and multitasking skills, as well as the ability to thrive in a fast-paced, high-performing environment. This individual serves as a key partner to the team, driving efficiency, accountability, and collaboration across all areas of responsibility.

Key Responsibilities
  • Streamlining Operations: Coordinate schedules, manage meetings and appointments, and handle travel arrangements to ensure seamless day-to-day operations.
  • Prioritizing Communication: Proactively follow up on communications, assess urgency, and take appropriate action to keep the team and projects on track.
  • Supporting Team Success: Understand the status and priorities of each project and team member, acting as a hub of knowledge and coordination.
  • Drafting & Proofing: Create, edit, and proofread correspondence, reports, presentations, and other key documents with exceptional attention to detail.
  • Facilitating Public Relations: Partner with the Director of Marketing to manage the team’s participation in events, speaking engagements, and other external-facing opportunities.
  • Managing Absence Coverage: Ensure continuity by addressing or delegating requests for action or information in the absence of the Partner or team members.
  • Building Relationships: Serve as a liaison between departments to align operational needs and priorities.
  • Driving Accountability: Monitor commitments and deadlines across all projects, ensuring nothing falls through the cracks.
  • Owning Logistics: Oversee conference management, expense reporting, contact management, and system integrations.
Requirements

  • Proven Executive Support Experience: Prior success in supporting senior executives in a fast-paced environment.
  • Technical Expertise: Advanced knowledge of the MS Office Suite (Excel proficiency is a must).
  • Adaptability: The ability to thrive in a dynamic, fast-changing environment while juggling multiple priorities.
  • Exceptional Communication Skills: A strong intellect combined with professionalism in both verbal and written communication.
  • Problem-Solving Savvy: A proactive approach to challenges with excellent decision-making skills.

  • Flexibility: Willingness to travel between our Dallas and Fort Worth offices based on team needs.

Candidate must be a self-starter with a positive attitude, problem solving ability, and leadership aptitude to develop and train analysts and associates. You will be part of a nimble asset management team that currently includes another Vice President and three Associates/Analysts.
