Title: Executive and Personal Assistant to CEO and COO

Reports to: Chief Executive Officer

Job Description

  • Responsible for optimizing the CEO/COO’s time and promoting the corporate image by representing them and the company, internally and externally.
  • Calendar – understand priority of meetings, recurring commitments, business vs. personal and providing proactive reminders.
  • Travel – understand the priorities when coordinating travel: private vs. commercial, the impact of using private and how to anticipate who, when and how.
  • Communicate – proactively follow up on any communication. Assess the urgency and importance of each situation and take the appropriate action.
  • Strategic Planning – understand the CEO/COO’s role in the company’s Strategic Plan, and proactively ensure their commitments are met.
  • Schedule and prepare for meetings: Weekly Huddle, Weekly Executive Committee, Monthly Managers, and Quarterly Employee.
  • Project Related – maintain a basic understanding of each project, the project team members, stay informed to anticipate the level of involvement by the CEO/COO.
  • Public Relations – communicate frequently with the Director of Marketing on requests submitted for the CEO’s participation and required preparation and feedback.
  • Presentations – develop and create visual presentations.
  • Ensure in the executive’s absence, that requests for action and information are answered or forwarded in a timely manner.
  • Liaison with departments to understand operational needs and priorities.
  • Be a collaborative and inclusive team member who listens to input/feedback and provides feedback to CEO/COO.
  • Conference Management / Support (ICSC, ULI, etc.)
  • Coordinate grant recommendations for the Trademark Make a Difference Foundation and the Allison and Terry Montesi Family Fund.
  • Work with all departments to coordinate and meet yearly commitments; Expense Management; Process Documentation; Contact Management Systems; Systems Integration (VTS, SharePoint,, Ring Central Platform, etc.)
  • Be an extra set of eyes and ears to stay connected with what is happening culturally.
  • Work closely with the COO to execute on strategic and operational initiatives.


Job Requirements

  • Proven experience as a high-level executive assistant.
  • In-depth understanding of entire MS Office suite.
  • Ability to organize a daily workload by priorities.
  • Must be able to meet deadlines in a fast-paced, quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Strong intellect with a high level of professionalism including verbal and written communication skills.
  • College degree or some college preferable.
  • Ability to keep personal and company details confidential.
  • Ability to add to a positive transparent company culture.

This position is responsible to assist in the creation, development, and implementation of the overall revenue generation strategies and strategic marketing direction of the shopping center and meet corporate property business and marketing objectives. The position is event-centric and responsible for coordination and execution of all property events. The position is also responsible for co-managing the tourism efforts as well as developing and supporting retailer relationships and marketing efforts.

  • Communicate with the PR firm, Creative Agency, and Advertising Agency as necessary regarding events, promotions and partnerships
  • Along with the DMP, convey sales and market related information to the center’s leasing

Provide necessary marketing information and assistance as necessary

  • Assist with all tourism efforts including coordination of FAMS, developing relationships with national and international tour operators and tourism trade media, dialogue with our Mexico City representation firm, and yearly coordination and attendance to the IPW trade show


  • BA or BS degree with emphasis in marketing or business
  • 5 years of experience in marketing, event management, public relations, social media, and budgeting
  • Knowledge of retail management, marketing and advertising and working knowledge of the media industry
  • Well-developed oral and written skills
  • Exceptional negotiating skills
  • Event planning experience
  • Sound fiscal management and budgeting skills
  • Excellent word processing, Excel, Adobe, and Power Point skills
  • Flexibility to work varied schedules including weekends and evenings

Property Accountant | Galleria Dallas

Title: Property Accountant

Compensation: Based on Experience and Qualifications

Purpose and Scope:

Professional, energetic individual with full cycle property management accounting experience who communicates well at all levels, has the ability to multi-task, set priorities and adhere to deadlines.

Job Description: 

  • Perform full cycle accounting including accounts payable, journal entries, monthly accruals and reconciliations.
  • Generate monthly Rent Roll, review for accuracy.
  • Prepare monthly tenant percentage rent calculation and billings.
  • Enter daily cash receipts/tenant rents and monitor and actively pursue A/R balances.
  • Maintain property management sub-ledger including both lease and billing information.
  • Calculate monthly property management fees; process payments.
  • Prepare month-end reporting packages, review and analyze variances; distribute to parties as required.
  • Prepare complex annual NNN reconciliations and related billings for Office and Retail tenants.
  • Prepare annual budget and quarterly financial forecast.
  • Review new retail and office leases and lease amendments and create and adjust tenant billings based on a thorough understanding of lease terms.
  • Respond to tenant questions regarding monthly charges, outstanding amounts due, annual CAM reconciliations.
  • Complete special projects as requested.

Job Requirements: 

  • Bachelor’s degree in Accounting
  • 3-5 years accounting experience, real estate accounting a plus; clear understanding of financial statements (GAAP).
  • Candidate must be enthusiastic, creative, flexible, have strong technical aptitude; detail oriented with strong analytical and problem-solving skills.
  • Ability to work under pressure and coordinate numerous activities and groups of people who need to cooperate to achieve maximum efficiency.
  • Strong interpersonal, oral and written communications skills required.
  • Intermediate MS Excel and MS Word skills.
  • Timberline accounting software experience a preference.
